The Challenge

Migrating from Meeting Maker to Lotus Domino should enhance your business productivity rather than hamper it.  With Prevare's MigrateToDomino© product, your repeating/recurring meetings continue to possess the same repeat pattern, date list, guest list, and meeting notes.  When updates and cancellations are sent in Domino, new and existing guests receive notifications and process them as part of the existing repeating meeting.

What we offer 

Unlike other migration software, MigrateToDomino works at the server level by starting from Sumatra’s Common Calendaring Format (CCF) and importing via Domino COM Objects.  CCF is a complete server-side export of Calendaring/Scheduling data from the source application.   MigrateToDomino takes the CCF format and creates all necessary master, response, and notice documents directly in Chair and Attendee mail files, all linked together by Lotus universal identifiers.  The result is a seamless transition from the legacy application to Lotus Notes.

Crucially,  Resource Room information is maintained as part of the workflow.  MigrateToDomino updates the resource reservation database directly as part of the meeting-based import.  So meeting workflow and linkage moves forward as well as individual schedules.

How it works 

Prior to import, you are brought through a series of simple menus which allow you to set company-specific variables such as server names and naming conventions; migration date ranges; and logging/debug/recovery options.  If you require other optimization, we can modify the exported data to offer an extended range of customized migration behavior.

The Alternatives

Every other migration package we found exported and/or imported calendar items per user/per individual meeting (500 users meant 500 separate exports and imports).  Guest lists, repeating patterns, and resource reservation data were all lost.  In this model, each meeting is an isolated item.  These methods might suffice for archiving purposes, yet all ongoing and future meetings would need to be manually recreated.  For companies with 100 or more users and who are heavy users of calendaring applications, manual recreation of this data is simply time and cost prohibitive.

In contrast, MigrateToDomino takes all users at the server-side and imports them at once into Domino.  A migration of several years of data with servers on a 100Mb network with up to 1000 users can easily be completed over the course of a weekend.  In addition, each item is logged by its unique ID, allowing for mid-migration recovery.  Missed items are flagged and may be re-imported at a later time without impacting the overall migration.

Summary

MigrateToDomino will move all of your meetings and appointments from your old calendaring application into Lotus Notes/Domino while maintaining complete workflow functionality.  It will look as if you have been using Lotus Notes all along.  Your repeating meetings, guest lists, and resource reservations will continue to function as normal -- supporting updates, cancellations, and other changes.   MigrateToDomino lets you check and fix your name mapping before the migration begins.  And MigrateToDomino logs all successful and skipped items, so you can verify imported items and re-import as needed.
